How to Manage a Meetup Group With a Team: Co-Organizers, Event Hosts and Pro Networks
How can a team run a Meetup group without sharing one login?
By giving each person their own Meetup account and a role on the group's leadership team. Meetup's Help Center (read 3 October 2026) names the primary organizer, who pays for the group's subscription, and three leadership roles: co-organizer, assistant organizer and event organizer. You can have as many leadership members as you need, and every event also gets a one-time event host.
Sharing one login is the route to avoid. The Terms put the responsibility on you for what follows if you share account credentials, and Meetup's password page says never to share a password. If you act for an organization, the Terms say you agree to them on its behalf and confirm that you have authority to bind it. Use only accounts you own or are authorised to manage, and follow Meetup's rules.
Who can do what on a group's leadership team
| Role | What the Help Center says it can do | Not on its list |
|---|---|---|
| Organizer (primary) | Full control: the organizer subscription, group finances, closing the group or nominating a new primary organizer, leadership roles, settings, members, attendance history, contacting members, events | None listed |
| Co-organizer | Most of the same: leadership roles, group settings, accepting, removing and banning members, attendance history, contacting members, events | Financial and subscription-related tasks |
| Assistant organizer | Accepting, removing and banning members, attendance history, contacting members, scheduling, editing and cancelling events | Group settings and leadership changes |
| Event organizer | Contacting members, scheduling, editing and cancelling events | Member management |
| Event host | For one event: manage and contact attendees, close or open RSVPs, edit event settings, cancel or delete the event, check in attendees in the Meetup for Organizers app | Not a leadership position |
Everyone on the leadership team can use the event check-in feature. The event's creator is the host by default, and the role can go to any group member.
Add or change a role, step by step
- On your group's home page, click Members.
- Click the three-dot button next to the person you want to appoint.
- Click Change member role in the drop-down menu.
- Select co-organizer, assistant organizer or event organizer.
- Click Update role to confirm.
The Help Center says leadership roles can be adjusted on Meetup's desktop and mobile website, and the steps start from the member list. To add an event host, use the Hosts section while creating an event, or open an existing event, click Manage on the Attendees section, open the three-dot menu next to a member and choose Make event host. Any group member can be a host, and an event can have several.
Several groups and clients: plans and Pro networks
| Plan | Groups per organizer (read 3 October 2026) | Notes from the Help Center |
|---|---|---|
| Starter | One | Only for brand-new groups and new organizers; it cannot be used to take over an existing group |
| Standard | Up to three | You can start groups or step up as organizer of existing ones |
| Pro | Unlimited, billed per group | Designed for companies, brands and organizations; adds tools for networks of groups |
Meetup+ is a member subscription, not an organizer plan. In a Pro network, the Network Administrator controls network-wide settings and group membership, and additional administrators can be added at the main administrator's request. By default the Network Administrator is the main organizer of each group, but may let local organizers manage groups (the sponsorship model) or appoint local co-organizers (the ownership model). One account can hold both the organizer and the administrator role. The general guide to managing multiple client ad accounts explains the same ownership idea for ad platforms: the client owns, the agency gets access.
Hand-over and off-boarding
- On the group's home page choose Manage group, then Transfer group ownership. Meetup says you must log in from a desktop or mobile web browser to step down.
- Nominate a member, add a message, and select Ask selected members. The Help Center says members inactive for more than 54 weeks may be missing from the list.
- Or step down without a nomination: the leadership team is told first, then all members for thirty days. If nobody steps up in that time the group is closed, and a closed group cannot be reopened.
- Agree who starts the new subscription. Every organizer needs their own, subscriptions are tied to accounts, not groups, and they do not transfer with the group.
- Cancel billing separately. Stepping down does not cancel the organizer subscription.
When a teammate leaves, change or remove their leadership role through the same Members steps and take them off any event host lists. If a departing person's work mailbox is the account email, change it while you can still log in, under Settings > Account Management. Meetup's email page names a disabled work email as a common situation, and says that if you can no longer log in or reach the old mailbox it can update the email only after verifying your identity, and otherwise you need a new account with a different email.
Keep each account safe without shared passwords
- Strong, unique passwords. Meetup asks for at least ten characters with upper and lower case letters, numbers and symbols, unique to Meetup and not previously compromised, and suggests a password manager.
- Protect the mailbox. Meetup sends reset instructions to the account email, so whoever controls that inbox can reset the password. The pages read describe no two-factor sign-in, so secure the mailbox itself.
- One person, one browser profile. Separate browser profiles for Meetup keep colleagues' sign-ins apart on a shared computer.
What if it fails?
| What happens | Likely reason in the Help Center | What to do |
|---|---|---|
| An organizer cannot see their group | A lapsed organizer subscription, or a different account | Check the Organizer Subscription page and the login email |
| A volunteer cannot take over a group | Starter is not available for existing groups, and Meetup+ is not an organizer plan | Start a Standard or Pro subscription on that account |
| Creating an event fails | Subscription limits, the wrong account, a stale cache, or the app | Verify the account, try desktop or mobile, clear cache and cookies |
| The role menu is missing | Roles are adjusted on the website | Use the desktop or mobile website |
| Billing continues after stepping down | Stepping down does not cancel the plan | Cancel the subscription separately |
Where ADSSPEED fits
For a community team, ADSSPEED, a desktop app for Windows and macOS that manages many browser profiles, can hold each member's Meetup account in its own profile with its own cookies, local data and browser settings, so several accounts stay signed in side by side without signing each other out. Profiles can be opened, stopped and organised in bulk, and profile data stays on your own computer. It adds no permissions on Meetup: roles still come from the group. Use only accounts you own or are authorised to manage, and follow Meetup's rules. ADSSPEED is not affiliated with Meetup.
Frequently asked questions
What is the difference between a Meetup organizer and a co-organizer?
The organizer is the primary organizer, the person who pays for the group's subscription, and has full control, including finances and nominating a new primary organizer. A co-organizer has many of the same permissions except financial and subscription-related tasks, according to the Help Center's page on leadership teams.
How do I add a co-organizer to my Meetup group?
Open the group's home page and click Members, click the three-dot button next to the person, choose Change member role, select co-organizer, assistant organizer or event organizer, and click Update role. The Help Center says roles can be adjusted on Meetup's desktop and mobile website.
Can a Meetup co-organizer manage the subscription or payments?
No. The Help Center says a co-organizer has many of the same permissions as the organizer except for financial and subscription-related tasks. Managing the organizer subscription and the group's finances stays with the primary organizer.
How do I transfer a Meetup group to someone else?
From the group's home page choose Manage group, then Transfer group ownership, and nominate a member or step down without a nomination. Meetup says to do this from a desktop or mobile web browser, and the new organizer needs their own subscription because subscriptions do not move with the group.
How many Meetup groups can one organizer run?
According to the Help Center, read on 3 October 2026, the Starter plan covers one group, Standard up to three, and Pro an unlimited number billed per group. Meetup points organizers who manage more than three groups through separate accounts to Meetup Pro.
Can an agency manage Meetup groups for several clients?
Meetup describes Pro as designed for companies, brands and organizations, with a Network Administrator who manages the network and can add other administrators on request. Whoever acts for a client should do so from their own account with a role, not by sharing a login.
