Using Signal for Work: How Teams Handle Numbers, Groups and Admins

Can a team or company use Signal for work?

Yes, but as separate accounts rather than one shared account. According to Signal's Help Center (read 3 October 2026), Signal has no personal or business mode to flip, a company's staff can use it on Android, iOS or desktop, every phone needs a number of its own, and one number cannot be split across phones.

That also answers a common question, whether two people can share one Signal account: the work page asks for a separate number per phone. Linked devices, up to five per account, extend one person's account to their own computer or tablet. The pages read describe them in terms of your own phone and devices and do not describe a shared team login.

What can group admins control?

A Signal group is the shared space the Help Center documents for teams. Admin controls exist in New Groups, and these are the ones the pages list:

The Group chats page adds that Signal's service keeps no record of a group's members, name, picture or settings.

How do you set up a team group?

  1. Each member installs Signal on their own phone and registers their own number.
  2. In Signal, tap compose, then New group, select contacts or enter numbers, tap Next, enter a group name, choose the disappearing-message time and tap Create.
  3. Expect some members to accept a message request or invitation before they can post.
  4. Check who is admin: open the group settings (tap the group name on mobile, or use the menu on desktop) and look for Admin beside names.
  5. Add a second admin: open the member list, tap the contact's name, tap Make Admin and confirm.
  6. Set who can edit info, add members and manage invites. If you use a group link, you can turn on Approve New Members so that admins approve each request.

How do you handle numbers, privacy and sign-in security for staff?

  • Keep staff numbers private when you can. The Help Center says a phone number is no longer visible to everyone by default, and you can create a username to share instead of, or next to, your number. You can have one username at a time. The controls sit under Settings > Privacy > Phone Number.
  • Treat the PIN as a secret that Signal cannot recover. The PIN page says Signal cannot reset or recover it and that a password manager can store it. The safety page suggests enabling two-step verification with registration lock.
  • Keep codes private. The same page lists SMS verification codes, recovery keys, passwords and payment details as things to hand to nobody.
  • Link each person's computer to their own account. Anyone who wants Signal on a computer links that Desktop to their own account by scanning its QR code with their own phone.
  • Separate work chats inside one account. Signal on Android has chat folders, for example a work folder. They are documented for Android only.

How do you off-board someone?

  1. Hand over admin first. The Leave a group page notes that an admin who wants out may first have to name a replacement admin.
  2. Remove them from groups. An admin opens the member list, selects the person and chooses Remove from group.
  3. Unlink their computer if it was linked to an account the company keeps. Remove it in the phone's Linked devices list, or use Settings > General > Delete Data on that Desktop; the page says the phone stays registered.
  4. Closing an account is done from its phone. Signal says it cannot delete an account for you and does not accept requests by email; you delete it from the phone where it was set up (Settings > Account > Delete Account). If nobody has that phone, the account is deleted after 120 days of inactivity.
  5. Set expectations about history. Signal's safety page notes that deleting a chat does not delete your history from the other person's devices.

What if group controls do not show or an invite fails?

  • No edit options. The group's admins decide who may change its info, so ask one of them.
  • No group link option. Ask an admin to switch the link on and send it to you.
  • A Legacy Group banner or a failed invite. Update Signal on your phone and all linked devices; ask the contact to do the same, then set or refresh the Signal profile. Admins are a feature of New Groups only, so a Legacy Group has to be upgraded.
  • Cannot accept an invite. The page also suggests unlinking or removing all linked devices as an alternative to updating them.

Can two people share one Signal account?

Signal's work page says every phone needs a number of its own, and one number cannot cover several phones. The Terms put the security of your device and account on you, and the safety page says to keep verification codes and recovery keys private. Teams share a group, not a login.

Can you use Signal on multiple devices?

Yes, for one person's own account. The account sits on one mobile device at a time, and up to five secondary devices such as computers and tablets can be linked to it. The phone must connect at least every 30 days, or the linked devices are cut off.

How do I change the admin of a Signal group?

An admin opens the group settings, taps View all members, taps the contact's name, taps Make Admin and confirms. Only admins can remove members, and an admin who wants to leave may first have to name a replacement, per the Leave a group page. Admins exist in New Groups, not Legacy Groups.

Can a Signal group have multiple admins?

Who is the admin of a Signal group chat?

Open the group chat, tap the group name on mobile or the menu on desktop to view group settings, and scroll to the member list. The word Admin appears next to every administrator. If you cannot see edit options, the Help Center says to message an admin, because admins choose who can modify group info.
