How to Share One WhatsApp Business Number With a Team: Linked Devices, Access and Off-Boarding
How can a team answer from one WhatsApp Business number?
By linking devices to one primary phone, not by creating extra accounts. According to WhatsApp's Help Center and 2023 announcement (read 3 October 2026), a primary phone can link up to four devices, and small-business employees can respond from their own phones under the same WhatsApp Business account. The account itself stays one number, held on one phone. When a company needs many agents, WhatsApp points to a different product, the Business Platform.

WhatsApp's business site says plainly that the Business app provides for one phone number, and that a larger organisation needing multi-user messaging should consider the Platform.
Set up team access on the Business app
- Register the number on a phone the business controls. Keep it in service. WhatsApp says you must log in on the primary phone every 14 days for linked devices to stay connected.
- Link each team device. Android: More (three vertical dots), Linked devices, Link a device. iPhone: Settings, Linked devices, Link device. Scan the QR code, and verify with biometrics or the phone PIN if asked.
- Count your devices. The Help Center's figure is four. WhatsApp's business site lists multi-agent accounts, with up to 10 linked devices and agents and chats assigned to sales agents, among the benefits of Meta Verified. That is a separate programme, so trust the Linked devices screen of your own account.
- Turn on two-step verification (Android: Settings, Account, Two-step verification). WhatsApp calls it optional, and says an email on the account helps you recover without SMS or a call.
- Review the list on a schedule. WhatsApp says to check linked devices regularly.
Who holds what: access without a shared password

The Business app terms say a company may only let "authorized individuals acting on behalf of Company" use the app, and must keep its credentials, devices and account secure. The linking pages read do not describe per-person roles for linked devices. The recovery page also says WhatsApp can't provide information about who accessed an account or when, so keep your own record of who has a linked device and since when.
WhatsApp and the Business app on one phone
WhatsApp's Business download page says the two apps can run side by side on a phone, provided each account is registered with a different phone number. If a number is already on regular WhatsApp, the same page says you can migrate that account, including chat history and media, to a new WhatsApp Business account. Remember that one number cannot serve both apps at once, and that account switching is not available inside the Business app.
Working for a client: a short checklist
The general pattern for agencies is in managing multiple client accounts. For a WhatsApp number it comes down to this:
- Get the number owner's authorisation before you touch the account, and say which devices will be linked.
- Let the client keep the primary phone and SIM. The registration code goes there, and so does the 14-day login.
- Ask for a linked device, never the 6-digit code or the two-step PIN.
- Agree who opens WhatsApp on the primary phone, and how often.
- Agree off-boarding in advance: at the end, the client logs your device out from the phone.
Taking someone off the account
- On the primary phone, open the linked-devices list, tap the person's device, then tap Log out.
- Review two-step verification (Android: Settings, Account, Two-step verification) if the person knew the PIN or password.
- If they used WhatsApp Web on a browser, they can also go to Settings, Log out, Log out there. The phone's log-out is the one you control.
- Update your list. If the number or a code may have been exposed, the sign-out guide summarises WhatsApp's compromised-account steps.
If it does not work
- A link is refused. The Help Center's limit is four linked devices. Log out one you no longer use.
- Devices drop after a while. The primary phone was not logged in for 14 days. See the sign-out guide.
- Linked devices stop working. A restricted account cannot use linked devices until the restriction ends.
- No account switching. WhatsApp says switching isn't available on the Business app. WhatsApp and the Business app can share a phone only on different numbers.
