How to Manage ArtStation for a Studio, School or Team Without Sharing a Password
How can a studio or team run ArtStation without sharing one login?
By invitation, according to the Help Center (read 3 October 2026). Team access is described for Recruitment Tools: an Owner opens the Team tab and selects Invite Team Member, enters a colleague's email address and chooses Owner or Recruiter, and the colleague joins with an ArtStation account of their own, which they must already have. For portfolios, the Help Center says each artist is in control of what they post and that shared artworks across portfolios are not possible, so every artist keeps their own account and collaborators are credited in the project description.

What can each team role do?

The Talent Folder, which lets recruiters collect candidates for an open position, is described as available to Studios with an unlimited posting plan. It can be shared with people inside or outside your team by adding a password they need to open it, so keep track of who holds that password.
How do you add, change and remove recruitment team members?
- An Owner opens the Team tab in Recruitment Tools and selects Invite Team Member. Only Owners can send invitations.
- Enter the colleague's email address and assign Owner or Recruiter.
- The colleague gets an email invitation and can join only with an active ArtStation account.
- To manage pending invitations, open the Invitations tab and resend or delete them. Deleting an invitation does not recall an email already sent, but the person can no longer join through it.
- To change someone's permissions or remove them, an Owner uses the same Team tab; the Help Center lists inviting, editing permissions and deleting members among the Owner's abilities.
What should you set up before people join or leave?
- An email address the organisation controls. Password reset links go to the email address associated with the account, and ArtStation says it needs a verified address for critical account updates. The path to change it is Settings, then the Account tab.
- A note of who bought the subscription. An Owner manages billing only if they purchased it, so check before you remove an Owner.
- One account per storefront, with tax details to match. The tax FAQ says the legal owner of the account provides them, and it points to a tax professional for advice.
- Credit instead of copying. Collaborators credit each other in project descriptions rather than sharing an artwork between portfolios.
- A written list of Owners. Handy when an invite fails or an Owner leaves.
Agencies handling many client accounts will find the wider approach in managing multiple client accounts the official way.
What happens when someone leaves?
- An Owner opens the Team tab and deletes the member.
- Delete any pending invitation for that person from the Invitations tab.
- Check billing. If the person who left bought the subscription, decide who will manage it before you change anything.
- If a password was ever shared for an account, change it: Avatar menu, Settings, Password, which needs the current password. Then review the email address on the account.
- If you shared a talent folder with a password, treat the password as known to the leaver.
What if an invite, subscription or sign-in goes wrong?
- An invite does not work. Check that the person has an active ArtStation account and that an Owner sent it. The Invitations tab lists what is still pending, and you can resend from there.
- The subscription lapses. Cancelling the Recruiter subscription stops auto-renewal only. Benefits last until the end date, and the Help Center says your company details, team and draft listings are kept. The Recruiter article gives this path: Avatar menu, Settings, Manage Subscriptions, Manage Recruiter Subscription, Turn off auto renew. The Premium article says the process is the same for Studio and Recruitment accounts.
- A sign-in fails. See ArtStation login not working or keeps signing you out.
- A store or payout is blocked. The tax FAQ says payouts and the store may be suspended when valid tax information is missing after the sales threshold it describes.
- You need an answer quickly. The Member Support article says paid accounts and services such as recruiting and advertising receive priority support.

Can several people share one ArtStation account?
The Help Center pages read on 3 October 2026 describe no shared-login feature. The team access they describe works by invitation: an Owner invites colleagues to Recruitment Tools by email, and each must already have an active ArtStation account. Sharing one password is not a route the Help Center documents.
How do I add a team member to my ArtStation studio?
An Owner opens the Team tab in Recruitment Tools, selects Invite Team Member, types the colleague's email address and picks a permission level, Owner or Recruiter. The person receives an email and can join only if they already hold an active ArtStation account. Pending invitations can be resent or deleted from the Invitations tab.

What is an ArtStation studio account?
The Help Center says studios may open a profile to show work they themselves produced, and that a studio can be anything from one artist to a large company. Rules apply: no ads for recruiting, no profile for a single project, and no posting work that a tool company's customers made.
Who can set up an ArtStation school account?
The application has to come from an authorised administrator or faculty member; students may not set one up for their school. The Help Center lists post-secondary institutions and online art schools as eligible, and says review may take up to a week.
What happens to my team if I cancel the Recruiter subscription?
Cancelling only switches off auto-renewal, so benefits last until the end date. After that, perks such as unlimited job postings and recruiter badges stop, but the Help Center says your company details, team and draft listings are kept.
