How to Manage Vimeo for a Team or Clients: Team Roles, Team Library and Enterprise Workspaces

How do you manage Vimeo for several people without sharing a password?

Start with Vimeo's own rule. Its Terms of Service say each team member must create an account with their own login credentials and may use the Services only as a team member on your behalf, and that you remain responsible for your team members' actions and must monitor their access and usage. Vimeo's account security tips say the same in plainer words: keep your password to yourself, including from people you trust. So the official route is invitation, role, and removal when the work ends.

Which role should each person get?

Legacy plans also have an Uploader role that can only upload. The member-roles page says its roles feature requires a paid plan, so check your plan before planning around roles. As a rule of thumb, start each person on the narrowest role that lets them do their job and widen it only when asked.

Step by step: inviting a team member

The menu paths in this guide are for vimeo.com in a desktop browser; the Help Center pages read do not describe them for the mobile app.

  1. An Owner or Admin opens the Manage Team tab in Account Settings, or uses the profile photo menu and Invite members.
  2. Select + Invite.
  3. Enter up to 10 email addresses separated by commas, choose a role from the dropdown and add a note if you like.
  4. Select Invite. The person shows as Pending until they accept.
  5. If nothing happens, Vimeo sends a reminder automatically after 24 hours without a reply, and you can copy a direct invitation link by hovering over Pending.
  6. The invitee opens the email, selects Get started, logs in or creates an account, and lands in the team's library. If they already have an account to link, Vimeo says to use that account's email address in the invitation.

For Enterprise Organizations the same idea moves to Organization Settings, then Members, then Invite, with Workspace roles assigned from the Workspace's own Members tab or the Organization's Manage Workspace access option.

Team Library, My Library and Workspaces

On a team, each person has a personal My Library, which Vimeo says is not shown to teammates, and a shared Team Library. Content moved into the Team Library becomes visible to the team. If you remove your last collaborator, Vimeo lets you merge the two libraries back into one.

Workspaces are the Enterprise answer to several brands or clients. Vimeo says a Workspace can be set up for a brand, department or project, keeps users and content separate, and works like a child account of the Organization. Organization-level settings are inherited by Workspaces and cannot be overridden there. A member can be assigned to one or more Workspaces, each with a Workspace role, and switches between them from the top right of the page.

One caution for people who mix personal and employer accounts: Vimeo's Enterprise access page says that when you join an Enterprise team, control of your account and its content shifts to the Enterprise, and that an organisation may automatically add an existing account created with its assigned email address. Use a separate account for personal videos.

Hand-over, off-boarding and control

What if something goes wrong?

  • The invitation does not arrive. Check the reminder, send the direct link, and confirm the exact email address with the invitee. Vimeo says the admin may need to re-invite if there was an error.
  • A member gets an access error in a Workspace. Vimeo's troubleshooting page says the member is not assigned to a Workspace; an Organization Owner, Organization Admin or Workspace Admin must assign them.
  • You hit a seat limit. Seats can be bought from the billing settings page, and Viewers still count toward the limit.
  • You want everyone on 2FA. Vimeo describes two-factor authentication, by email code or authenticator app, as a setting each account turns on in its own Security Settings, and its security tips recommend it. The pages read do not describe a setting that requires it for all members.

Frequently asked questions

Does Vimeo have a team account?

Yes. On paid plans an owner or admin can invite team members and give each one a role. Vimeo's libraries page says creating a team is optional, and its member-roles page says the roles feature requires a paid plan. Enterprise customers can also add Organizations and Workspaces through their account manager.

How do I add team members to Vimeo?

Owners and Admins open the Manage Team tab in Account Settings, or use the profile photo menu, select Invite, enter up to 10 email addresses at a time, choose a role and send. Invitees show as Pending, and Vimeo sends a reminder automatically if there is no reply within 24 hours.

What are the Vimeo team roles?

On paid plans: Viewer, Contributor, Admin and Owner, with Contributor Plus on Enterprise and an Uploader role on some legacy plans. Vimeo says there is only one owner, who controls billing, plans and all account settings, while Admins cannot handle billing or change the plan.

What are Vimeo seats?

Vimeo's team-members page says how many people you can add depends on your plan and, in some cases, on the seats you bought. Contributor and Admin roles count as paid seats, Viewers can be added at no extra cost but still count toward the seat limit, and more seats can be bought from the billing settings page.

How do I remove someone from a Vimeo team?

An Owner or Admin opens the Manage Team page, clicks the person's role and selects Remove from team. In an Enterprise Organization, removing a member revokes access to every Workspace, though videos they added to shared folders and comments they made stay available to other Workspace members.

How do I transfer ownership of a Vimeo team account?

The current owner logs in, opens Account Settings, edits the login email to the new owner's address and confirms with the current password. The new owner then uses the forgot-password page to set their own password. Vimeo says nobody needs to share a password, and its Support never generates or sends one.
