How to Manage WeChat for a Team: Official Account Roles and WeCom Admins
How can several people manage one WeChat business presence without sharing a login?
Give each person a role, so everyone signs in with their own WeChat. WeChat's Terms of Service say an account is personal and may not be lent to anyone, and the official business tools are built around roles instead: administrators and operators on an Official Account, and creator, super administrator and sub-administrator in WeCom.
This article covers the two business tools that could be checked on official pages (read 3 October 2026): the Official Accounts Platform at mp.weixin.qq.com and the WeCom admin console, also called WeChat Work. Tencent's support pages for both are mostly in Chinese, so the roles, limits and menu names below are paraphrased from them.
Official Accounts: who can do what?
| Role | How it is set | What Tencent's pages say it can do |
|---|---|---|
| Administrator | Listed under Administrator Information and changed there (Settings and Development > Personnel Settings > Administrator Information > Modify), with a QR confirmation from both the old and the new administrator's WeChat | Manages operators; turns risk-operation protection and reminders on or off; all risk operations, which the page lists as sign-in, mass messages, changing server settings, and viewing or changing the AppSecret |
| Long-term operator | Bound by the administrator under Operator Management; the person accepts an invitation | Sign in and send mass messages, for as long as the administrator keeps the binding |
| Short-term operator | Same route, chosen as short-term | The same two actions for one month, after which access expires automatically |
For an individual-type account, the administrator is the person behind it: the support page says only the principal's own real-name WeChat can be bound, not another person's. For organisations, the administrator's identity details can be changed after the original administrator's WeChat scans to verify and the new administrator's real-name WeChat scans to confirm.
To sign in, the administrator or an operator scans the QR code at mp.weixin.qq.com with their own WeChat. The phone lets them choose the account, and the first QR sign-in asks for the account's own password, which Tencent says is separate from email, QQ and WeChat passwords. If the scanning WeChat has no Official Accounts Platform account to log in to, the sign-in page says so and offers a link to register one.
Which limits should you plan around?
| Limit | Number | Where it comes from |
|---|---|---|
| Operator WeChat accounts per Official Account | 25 (5 long-term and 20 short-term) | Tencent's binding rules page |
| Official Accounts one WeChat account can bind and manage | 5 | Same page |
| Official Accounts per email address | 1 | Registration counts page, stated to apply from 16 November 2018 |
| Official Accounts bound to one phone number | 5 | Same page |
| Individual-type accounts per ID card | 1 | Same page |
| Accounts per enterprise, sole proprietor or other organisation | 2 | Same page |
| Government and media types | 50 | Same page |
The binding rules page adds that an operator's WeChat must follow the Official Account before it can be bound. The Operation Rules say the number of accounts registered per ID card and verified per phone number must not exceed the platform's limits, ban registering large numbers of similar accounts (rule 1.12), and require Chinese-version users to be in mainland China and foreign-version users to be outside it (rule 1.13). The registration counts page does not say whether its numbers differ between the two versions, so check the current registration page before you rely on them.
WeCom: creator, super administrators and sub-administrators
WeCom has its own admin console and Help Center. Per that Help Center, there are three levels:
| Role | What the Help Center says |
|---|---|
| Creator | Exactly one per enterprise, with the highest authority; can delete every administrator. One WeChat account can hold at most 5 creator identities across enterprises |
| Super administrator | Several are allowed, with the highest management rights. Internal ones must be in the company contacts; external ones, meant for outside support staff or outsourced operators, need not be. Can delete other super and tiered administrators |
| Sub-administrator (tiered) | Manages only the scope and permissions assigned, and can pass on only permissions they hold |
The Help Center currently states no upper limit on the number of administrators in one enterprise, and one WeCom account can be an administrator of up to 50 enterprises. The admin console is a web page that only super and tiered administrators can sign in to, and the Help Center's main route is scanning a QR code with the WeCom app. An enterprise can switch on SMS verification under My Enterprise > Security so that every administrator completes it at login. The QR code is valid for 2 minutes, and after 2 hours without any operation you must log in again.
For people who work across companies, one WeCom account can join several companies and switch between them, and the phone and the computer can each be in a different company at the same time. One computer or phone, however, cannot be logged in to two WeCom accounts at once.
How do you hand over or off-board someone?
Remove an operator on the Official Accounts Platform
- Sign in as the administrator and open Operator Management under Personnel Settings.
- Select the operator's WeChat and choose to revoke the binding. Tencent says adding or removing operators needs the administrator's identity verification.
- A short-term operator's access also ends by itself after one month.
Change the administrator
- Open Settings and Development > Personnel Settings > Administrator Information > Modify.
- Have the old administrator's WeChat scan to confirm, then the new administrator's, as both are required.
- Do not look for an unbind button: Tencent says the administrator's WeChat cannot be unbound, and you change the administrator information instead.
Remove a member in WeCom
- In the admin console go to Contacts > Organization Structure, tick the person and delete.
- The Help Center warns that the member's information and logs are cleared and cannot be recovered, so decide what you need to keep first.
What if the administrator is unreachable?
Tencent's support pages give a second route for an Official Account: sign in to the platform in a browser with the account's own password, then use the option under the QR code to change the WeChat account and follow the prompts. If a WeChat account already holds 5 Official Accounts, binding cannot continue. Both situations are easier when the account's password and the administrator details are recorded with the organisation, not only on one person's phone.

Where ADSSPEED fits
If you handle several clients' Official Account or WeCom admin consoles in a browser, ADSSPEED can keep each one in its own profile. It is a desktop app for Windows and macOS that manages many browser profiles; every profile keeps its own cookies, local data and browser settings, so accounts you manage can stay signed in side by side without signing each other out. Profiles can be opened, stopped and organised in bulk, and profile data stays on your own computer. Each administrator or operator still signs in with their own WeChat, under the roles above. Use it only for accounts you own or are authorised to manage. ADSSPEED is not affiliated with WeChat.
Frequently asked questions
What is the WeChat Official Account admin platform?
It is the Official Accounts Platform at mp.weixin.qq.com, where an Official Account is managed. Tencent's support pages say you can sign in by scanning a QR code with the administrator's or an operator's WeChat, and that the first QR sign-in asks for the account's own password.
Can several people manage one WeChat Official Account?
Yes, through operators. The administrator binds operator WeChat accounts as long-term or short-term; operators can sign in and send mass messages, while the administrator can also manage operators and other sensitive settings. Each person signs in with their own WeChat instead of sharing one.
How many operators can a WeChat Official Account have?
Tencent's binding rules page says up to 25 operator WeChat accounts: 5 long-term operators and 20 short-term operators. A short-term operator's access lasts one month and then expires automatically.
How many Official Accounts can one WeChat account manage?
According to Tencent's support pages, one WeChat account can bind to and manage a maximum of 5 Official Accounts. Once that limit is reached, binding another one cannot continue, so agencies should plan which WeChat accounts hold which clients.
How do I log in to a WeChat Official Account?
Go to mp.weixin.qq.com on a computer. Tencent's support pages list signing in with the bound email and the account's own password, with the account's WeChat ID and password, or by scanning the QR code with the administrator's or an operator's WeChat. That password is separate from your email, QQ and WeChat passwords.
Who can log in to the WeCom admin console?
WeCom's Help Center says super administrators and tiered administrators can log in, and its main route is scanning a QR code with the WeCom app. An enterprise can also switch on SMS verification so that all administrators complete it at every console login.
